About Fiberflux
Fiberflux is an innovative scale-up developing installation systems and pipeline components to integrate fiber optic cables into (drinking water) pipelines. Through Fiber Optic Sensing (using fiber as a virtual chain of sensors) and AI-driven analysis, deviations such as leaks and potential intrusions can be detected in real time.
Together with our software partner Fluves (Ghent), we develop and commercialize DALI Pipeline Monitoring: a groundbreaking solution that provides real-time, spatially accurate insight into the condition of critical pipeline networks using in-pipe fiber optic sensing. Currently focused on drinking water, our ambition is to become a core technology for water utilities worldwide by delivering uniquely valuable data that reduces leakage losses and enables significantly more efficient management and increased safety of pipeline networks.
Fiberflux has its commercial and administrative office in the Wintercircus in Ghent, where it was selected to be part of the Startup Campus. Our technical workshop and logistics operations are based in Puurs-Sint-Amands, in a shared facility with two other (family-related) companies.
Role: All-round administrative talent
We are looking for an all-round administrative professional to strengthen our team in Ghent. You will take on a varied administrative and support role, contributing to the preparation, follow-up, and support of our projects and daily business activities, in close collaboration with internal teams and external partners.
You will join a growing, internationally active company where a pragmatic, entrepreneurial, and solution-oriented mindset is key. In this role, you contribute to smooth organization and efficient operations, while supporting the further expansion of our activities.
Your responsibilities
Finance & Accounting
You will play a central role in our financial administration and support the full accounting cycle in collaboration with our external accountant. You ensure everything is handled accurately, timely, and in a structured manner.
Your responsibilities include:
- Processing incoming and outgoing invoices (AP/AR)
- Preparing and reviewing general ledger accounts (reconciliations, allocations, etc.) and VAT returns
- Preparing journal entries (provisions, depreciation, cost overviews)
- Providing accurate documentation for monthly and quarterly closings and supporting reporting
- Following up on payments, reminders, supplier administration, and credit control
- Structuring and managing financial documentation and reporting data
- Identifying discrepancies and proposing process improvements
- Closely collaborating with our external accounting partner to ensure smooth and accurate bookkeeping
People & HR Administration
You ensure smooth and professional execution of HR processes in collaboration with our HR partner, supporting the full employee journey.
Your responsibilities include:
- Managing personnel files, contracts, and HR documentation
- Preparing payroll and tracking leave and absences
- Acting as a point of contact for employees with HR-related questions
- Supporting recruitment (planning, follow-up, administration, and communication)
- Coordinating onboarding and ensuring smooth integration of new hires
- Monitoring HR compliance and supporting small HR projects
- Contributing to the improvement and digitalization of HR processes, tools, and internal workflows
Office & operations support
You ensure accurate and structured management of daily office and administrative processes so the team can work efficiently and operations run smoothly.
Your responsibilities include:
- Managing general administration
- Handling emails, phone calls, and correspondence
- Preparing documents, reports, and presentations with colleagues
- Managing calendars and coordinating meetings and meeting rooms
- Organizing small internal events and practical office matters (e.g. ordering supplies)
- Acting as a contact point for suppliers for administrative matters (e.g. office supplies, cleaning, service providers)
Your profile
Must-haves
- Strong administrative skills and attention to detail
- Solid accounting foundation and willingness to manage the full cycle (with support)
- Experience with ERP software (experience with Odoo is a plus)
- Affinity with HR processes and willingness to grow in this area
- Fluent in Dutch and English
- Accurate, structured, and able to work independently
- Comfortable in a dynamic startup environment
Nice-to-haves
- Experience in HR and office support
- Affinity with technical/industrial environments
- Knowledge of French
